āÆUsing Microsoft Teams as Our Core Communication PlatformĀ
Microsoft Teams is our main platform for online meetings and day-to-day communication, working alongside email. As our Inclusion Coach team continues to grow, having every conversation inĀ singleĀ channelĀ canĀ become overwhelming.Ā To keep things organised and make it easier to find the right information,Ā we have aĀ aĀ dedicated channel structureĀ as follows:Ā
Meeting ChannelĀ
- For meeting invites, agendas, and any chat or discussion during a meeting.Ā
- Keeps meeting-related conversations easy to find and follow.Ā
Social ChannelĀ
- A space for Inclusion Coaches to connect on a personal level, share stories, celebrate wins, and build friendships.Ā
- Think of it as our virtual break room.Ā
Learning & Development ChannelĀ
- For resources, tips, and tools to boost your product knowledge and coaching skills.Ā
- This is whereĀ youāllĀ find training materials, helpful articles, and insights to support your role and growth.Ā
News ChannelĀ
- For important updates from State and National Managers.Ā
- Keeps all official news in one place so nothing gets lost in the chat stream.Ā
Microsoft Teams EtiquetteĀ
To help keep our communication clear and respectful, here are a few simple guidelines for using Teams effectively:Ā
General EtiquetteĀ
- Be respectful and professionalĀ ā remember Teams is our shared workspace.Ā
- Keep it relevantĀ ā post in the correct channel so others can easily find information.Ā
- Be conciseĀ ā keep messages short and to the point.Ā
- Use @mentions wiselyĀ ā tag individuals or groups only when you need their attention.Ā
- Check before postingĀ ā make sure your messageĀ isnātĀ better suited for email or another channel.Ā
Replies vs. New MessagesĀ
- Always reply within the threadĀ ā ifĀ youāreĀ responding to someoneās comment, use theĀ ReplyĀ option underneath their message.Ā
- This keeps the conversation grouped together, so everyone can easily follow along.Ā
- Avoid starting a new message underneathĀ unless you are changing the topic or starting a new conversation.Ā
- Think of threads like mini discussions,Ā keeping them together reduces clutter and stops important context from being lost.Ā
Meeting EtiquetteĀ
- Keep chat during meetings focused on the agenda.Ā
- Use reactions (šĀ šĀ ā¤ļø) for quick acknowledgements instead of adding extra āyesā or āthanksā messages.Ā
